Administrative and Program Manager for the Center for Real Dialogue Inc: Job Description

Full-time: $65,000 salary, beginning no later than April 15, 2024

The Center for Real Dialogue is a 501(c)3 non-profit, located in central Vermont, that provides access to in-person and on-line training, education, and research in Real Dialogue (Skill and Method) and Dialogue Therapy for Couples. The protocols for Real Dialogue and Dialogue Therapy are published in books and materials by Polly Young-Eisendrath, Ph.D. who is the Executive Director. These include the membership site, podcasts Enemies: From War to Wisdom and Waking Up is Not Enough, and books Love Between Equals (Shambhala: 2019) Dialogue Therapy for Couples and Real Dialogue for Opposing Sides: Methods Based on Mindfulness and Psychoanalysis (Routledge: 2022.) The Center offers trainings, lectures, retreats, podcasts, and other educational resources for the general public, educators, leaders, and mental health professionals in the skill and method of Real Dialogue and Dialogue Therapy. These unique interventions are designed to humanize conflict, avoid polarization, repair broken trust, overcome hostilities and restore lost connections between people at home, at work, and in the world.


At least five years of experience in non-profit organizational management or similar program management

Strong tech and financial skills or knowledge

Excellent writing and interpersonal skills and willingness to learn and use Real Dialogue

Three references/recommendations that show ability to work with diverse personalities, staff development, complex interactions and quick turnaround, as well as independent decision-making

Desirable: graduate education at the Masters level, experience in working with media and representing an organization publicly, experience working with funding organizations, including private foundations


This is a hybrid in-person online position that occasionally requires presence at in-person conferences/trainings and travel for trainings. Must be able to work in-person with Executive Director.


Reporting to the Executive Director, the manager will perform routine, daily administrative tasks in a professional and punctual manner online or in person. These include administrative tasks assigned by the director and others on the Real Dialogue Team such the accountant, media and marketing experts, videographers, and faculty or trainers. The manager will be familiar with the budget and hold expenses to limits, alerting the director if limits are being reached. The manager will also be familiar with and interface with the Real Dialogue (RD) Membership Community and membership site, and the Dialogue Therapy (DT) AMA’s and groups, maintaining good relationships with clients, overseeing and giving feedback to any administrative assistants (consultants), arranging schedules for the Executive Director and Center, and analyzing data for sales and marketing, as requested.


The manager would be able to work independently on researching online and in-person opportunities (for example, reaching out to well-known podcasts and training institutes to inquire about the Executive Director or others coming onto podcasts or joining into a program) for expanding the reach of Real Dialogue, Dialogue Therapy trainings and teachings, into other podcasts, interviews, workshops, classes, and trainings. The manager should have confidence in public speaking and making “cold calls” to influential leaders.The manager will develop their own familiarity and interface with online RD marketing, product visibility and advancement of marketing for online and in-person products and services.


The manager will also oversee and book Executive Director’s schedule for all RD-relevant events, including publishing, teaching and podcasting. This involves coordinating and managing multiple programs, as well as cooperating with grant writing, product development and research on effectiveness of RD trainings. The manager will be expected to take initiative and operate independently in activities such as: direct set-up, assistance and booking for in-person trainings and other educational events, scheduling and assembling all materials for trainings, including all advance and onsite A-V needs. The manager will be expected to master details for applying and maintaining continuing education credits (through the VT Office of Professional Regulation) for relevant trainings and to complete necessary paperwork for external continuing education events, often with tight and strict deadlines.


Administrative Tasks

·         check email and calendars daily, forwarding and responding as necessary

·         maintain director’s events calendar and meet, as requested, to review upcoming events

·         ongoing file maintenance – primarily Word and email

·         participate in RD team meetings

·         set up and oversee weekly AMAs operated through the Center for Real Dialogue (in RD

·         schedule weekly AMA meetings on Zoom and send reminders to members


Content Tasks

·         assist as needed with all in-person tasks and trainings, including some video and audio recording

·         manage and stay on top of continuing education needs and applications

·         collaborate with editing and media teams to produce high quality learning materials on a tight budget

·         become familiar with and use the 3-part Skill of Real Dialogue in negotiations and conflicts

·         become familiar with the Method of Real Dialogue (facilitation) in order to describe it to clients and public

·         have experience in using social media, websites, all Real Dialogue media


Live and Online Event Planning and Management

·         respond to requests for speaking, AMA, Once Hub, and teaching within two days of inquiry with pricing information and availability

·         learn the entire websites for RD, Executive Director, and other relevant sites to respond to members’ questions

·         provide required continuing education materials (Learning Objectives and Evaluations) in a timely manner

·         coordinate all aspects of live trainings in Dialogue Therapy and Real Dialogue

o   outreach

o   marketing

o   development of marketing materials

o   pre-registration, payment, and online and on-site registration

o   continuing education credit application and certificates

o   logistics

o   locate and book proper venue and prepare it for the training: AV, seating, facilities, beverages, lodging and meals

o   communication with registrants before, during and after training about lodging and travel

o   prepare and distribute all required continuing education materials for training


Marketing and Outreach

·         work closely with web and media managers to provide optimal materials for videos and marketing

·         know the details of director’s professional biography, as a teacher, speaker, facilitator

·         locate and market presentations and interviews to live and online venues for Real Dialogue or Dialogue Therapy

·         work with the Center and director and media teams to take them to the next level of visibility

·         proofread and edit all materials requested by Executive Director

·         become knowledgeable about and interface between the Center and grant development
