Title of Position: Program & Operations Coordinator
Reports to: Executive Director
Status: Full Time, 30-35 hours/week (varies based on seasonal timeline)
Salary: $25.00-$27.00/per hour
Location – 188 Allen Brook Lane, Williston, VT
Organization Description
Girls on the Run Vermont (GOTRVT) is a non-profit (501c3), community-based organization. GOTRVT’s mission is to inspire girls to be joyful, healthy and confident; using a fun, experience-based curriculum that creatively integrates running. Our statewide volunteer coaches mentor approximately 1,700-2,000 young girls (grades 3 through 8) in a 10 week after-school program that combines training for a 5K run/walk event with self-esteem enhancing, uplifting lessons. GOTRVT sessions integrate specific life-skills training such as healthy decision-making, positive self-talk, contributing to the community, leadership, teamwork and recognizing inherent limitless potential to make a difference in our world, starting with a positive image of self.
Girls on the Run Vermont is currently seeking a Program & Operations Coordinator to join our team. This position reports to and works closely with the Program Director and GOTRVT team and will make key contributions to the council’s strategic growth as it relates to program expansion/outreach and office management.
Key Areas of Responsibility – Program and Operations Coordinator
Program
Assist with recruitment and coordination of volunteer coaches at existing sites as needed throughout Vermont to expand program reach
Aid in implementation of program outreach to underserved populations
Perform site visits throughout state
Work closely with Program team to help manage internal database and internal documents for program related functions including efficient tracking of coaches, sites and financials
Assist in the coordination of volunteer coach trainings and events
Aid in coach stewardship initiatives
On-site coordination of volunteer events to accomplish large assembly tasks
Provide excellent customer service for volunteer coaches and parents
Collaborate with Program Director to stay within budget requirements
Provide support for scholarship drive as directed by Program Director
Continue to strengthen relationships with volunteer coaches through positive, supportive interaction including phone and email communications
Follow and enforce current coaching policies, procedures and requirements to ensure compliance with Girls on the Run International (GOTRI)
Represent GOTRVT at various conferences and events as assigned by Program Director
Assist the Program team with day to day operations, as necessary including special tasks as dictated by seasonal timeline
Other tasks as assigned by Program Director or Executive Director
Key Areas of Responsibility – Program and Operations Coordinator
Office Management
Coordinate operations as it relates to functionality of equipment and supplies needed to maintain office productivity/maintain office organization and housekeeping
Communicate with Bookkeeper to track receipts and invoices for office contractors, conferences etc.
Collaborate with team on marketing initiatives (i.e. communications calendar, posting on social media channels)
Organization of mailings and bank deposits
Special projects as they relate to seasonal timeline in collaboration with development and events (annual fundraiser, 5K events, mid-season events etc.)
Qualifications: Education/Work Experience:
Experience in program and/or volunteer coordination
Prior customer service experience required
Excellent verbal and written communications skills
Process-oriented, yet flexible and capable of creating new processes as needed
Mastery of schedule and timeline management
Strong organizational skills required
Ability to collaborate with others and work independently
Proficient with Microsoft Office, Google docs, Canva
Team-first mentality to work well with and support small nonprofit staff
Spirited individual with passion for the Girls on the Run mission
Bachelor’s Degree preferred; equivalent work experience considered
Working Conditions:
· In-person office setting during regular business hours (9-4:30p). Event timeline dictates longer hours during peak seasons.
· Ability to lift, carry, & organize 35+ pounds
· Weekend work is expected based on seasonal event timeline (approx. 6 times per year)
· Vacation blackout periods due to event schedule
· Transportation for statewide travel as needed
