Title:  Development Coordinator

Supervised by: Director of Development

JOB SUMMARY

The Development Coordinator  implements and anchors the systems and processes that drive our  fundraising program forward in service of building a Vermont where all LGBTQ+ youth have hope, equity, and power.

From gift management to all aspects of logistical, administrative support that drives our donor stewardship strategies, this person will carry out and champion the vital behind the scenes elements of our outward facing fundraising initiatives.

The Development Coordinator joins a highly collaborative and growing team, and will actively engage in the regularly-occurring work of Outright, including: development team meetings, all-staff meetings and retreats, and as a representative at  ‘all-in” events (typically 1-2 per year).

FUNCTIONAL AREAS

Key Function: Gift Management

  • Enter and import donations, pledges, in-kind gifts, and donor data into our donor database, Little Green Light.
  • Regularly check our online gift platform (Classy), as well as various online portals, email reports, and physical checks to ensure gifts to Outright are honored and logged.
  • Generate reports both from gift sources and Little Green Light to ensure data is accurate and  gifts and pledges are tracked across systems.
  • Maintain accurate records and files for gifts Outright receives.

Key Function: Administrative Support

  • Provide logistical support for fundraising and supporter events, including but not limited to Outright’s annual Fire Truck Pull.
  • Field emails sent to the Development team inbox and triage messages either for direct response or to the correct staff person at Outright.
  • Schedule internal and external meetings on behalf of the Development team.
  • Take clear and concise notes at all Development-related fundraising and team meetings.
  • Develop and update how-to manuals for fundraising processes and procedures.

Key Function: Donor Stewardship

  • Conduct prospect research and provide clear and accurate information for the fundraising team.
  • Track donor stewardship and enter information into Little Green Light, including donor meeting notes, appeals, and event attendance.
  • Use reports and lists with Little Green Light to support team thank you calls, produce mailing lists, and update donor data.
  • Support donor appeals and stewardship with mail merge, populating appeal and thank you letters, and writing handwritten thank you notes and cards.
  • Print, stuff, seal, and mail letters.
  • Track and maintain volunteer interest through a list that details area of interest and region.

Support the organization in other administrative matters as identified and assigned.

The successful candidate will have at least two years of relevant work history, demonstrating strong administrative and computer skills. This professional will work independently and with our team, communicating important and timely information to ensure our behind-the-scenes work continues, while building efficiency whenever possible. The ability to enjoy a highly collaborative and professional environment within the organization is essential.

Other Skills and Abilities

  • Accurate and efficient tracking and entering of financial and supporter information into an online database.
  • Demonstrated experience completing tasks on time and following steps in a clear process, noting exceptions and looking for ways to simplify efforts.
  • Effective at scheduling, notetaking, logistical, and administrative tasks.
    Strong online research or other prospect research skills.
  • Savvy at condensing and simplifying complex information.
  • Solid time-management skills and use of discernment  to prioritize tasks.
  • Clear communication skills, including a willingness to ask for clarification and guidance.
  • Demonstrated ability to handle sensitive information effectively and confidentially.
  • Technical skills that include expertise with Microsoft Excel, Microsoft Office, Google Suite; experience with constituent relationship management (CRM) databases, generating reports, donation platforms, and task management software  (Little Green Light, Classy, and Asana are plusses); aptitude for learning and using multiple digital platforms.
  • Experience following, documenting, and improving step-by-step instructions and procedures.
  • Effective collaboration both within a team setting and with external parties.

Transferable skills include, but are not limited to: office administration, data entry, ad hoc reporting, effective research, attention to detail, task management, and project management.

WHAT WE OFFER

Compensation and Benefits

Salary range: $65,250 to $69,625. This is a full time, salaried position based on a 35-hour work week.

This position can offer a hybrid schedule, with some mandatory weekly days in our Burlington office. Some evening and weekend hours may be required around key events and campaigns.

Hiring Process

  • First Round Interviews will take place Wednesday, February 5 and Thursday, February 6.
  • Second Round Interviews for candidates who advance will take place Wednesday, February 12 and Thursday, February 13.
  • Final Candidate Interviews will be Thursday, February 20 and Friday, February 21.
  • An offer to a successful candidate will occur as soon as reference checks can be completed; we anticipate this will happen by Monday, March 3.
