Role: To assist and provide support to the Foundation’s program, operations and grants management staff, to provide timely communication to grantseekers and others interested in our programs, and to help facilitate our grant application processes for grantseekers and employee committee members.
Position is based on 24 hours a week, with at least two in-person days per week in our South Burlington office. Pay is $26.50/Hour with FTE health care benefits and pro-rated paid personal time. Also, free ice cream!
Administrative Responsibilities:
1. Providing exemplary customer service to community partners, grant partners, grant applicants and key stakeholders including timely communications, information about grantmaking programs, and technical assistance.
2. Weekly correspondence – review and respond to email and telephone inquiries in a timely manner.
3. Weekly, provide first pass review of submitted applications, denying out of scope requests quickly and with appropriate e-mail templates.
4. Scheduling and supporting 3 grant making meetings each month – including room bookings, committee member invites, scheduling Zoom calls with applicants and grant partners, ordering lunches (and picking up when appropriate).
5. Assist in coordination of Lunch n’ Learn educational events, including room bookings, lunch coordination for site, and tech support for presentations.
6. Bi-Annually, assist with logistics of Learning Tours and other special events (includes travel).
7. Support staff on project-based work as needed.
8. Support Director of Grants Management with database hygiene and reporting.
9. Facilitate grant process updates.
Requirements:
Strong computer skills, i.e. Microsoft Office Suite.
Excellent Organizational skills including time management.
Strong communication skills including writing, phone, e-mail.
Excellent interpersonal skills including reading comprehension and curiosity.
Excellent problem solving and troubleshooting skills.
Applicants should be able to work effectively in an open, collaborative environment, be a creative thinker, work independently, and initiate process improvements.
Helpful (but not required) attributes:
Demonstrated appreciation and understanding of social justice issues.
Basic understanding of non-profit structures.
Prior philanthropic or non-profit experience.
Experience with Foundant or other Grants Management System and/or other database system.
