Member and Family Service Manager

This highly visible, front desk position serves as the welcoming first point of contact for Club members, families and visitors. The position combines exceptional customer service, relationship building with children and families and strong administrative skills.

The position requires someone who genuinely enjoys working with school age youth, particularly students in grades 4-8, and who is effective in helping to provide a safe, welcoming and trauma informed environment.

**A key responsibility is helping families successfully navigate Vermont’s child Care Financial Assistance Program (known as “subsidy”).  The ideal candidate enjoys working toward measurable goals, is persistent in helping families complete the application process and is motivated by increasing access to high-quality afterschool and summer programming.**

MAJOR DUTIES AND SPECIFIC RESPONSIBILITIES (inclusive, but not limited to):

1. Front Desk Operations:

  • Create a warm, welcoming and inclusive environment for all club members, families and visitors
  • Serve as the initial point of contact for Club visitors, answering phones and managing front desk
  • Build positive relationships with youth in grades 4–8, helping foster a safe and supportive Club culture.
  • Help manage the flow of Club member foot traffic during program hours, ensuring smooth operations and a positive member experience.
  • Use this highly visible position to reinforce Club expectations and contribute to a culture of safety.

2. Vermont Childcare Subsidy Process:

  •  Proactively work with families to successfully complete applications and renewal documents for Vermont’s Child Care Financial Assistance Program (“subsidy”)
  • Work towards ambitious enrollment and completion goals that increase access for families while maximizing Club revenue

3.      Administrative Duties:

  • Maintain the KidTrax membership database:
  • Process and maintain comprehensive records, including membership applications.
  • Enter and manage data essential for Club operations and grant reporting, including club member program participation.
  • Ensure smooth operation of office equipment such as phones and copiers.
  • Facilitate the deposit of incoming checks using internal scanning devices.
  • Assist with projects that support efficient Club operations

4.  Facilities

  • Serve as point of contact for facility vendors, including lawn care, fire inspection, vehicle maintenance, cleaning contractors and other services
  • Help coordinate maintenance activities to support a safe and fun facility
  • Coordinate and support external groups using Club facilities

5.  Club Member & Family Events

  • Plan, coordinate and support Club member events such as the Club Family Winter Dinner and other events that strengthen engagement with youth and their families

6. Safety Protocols:

  • Help communicate and reinforce club safety procedures with members, staff, families and visitors
  • Ensure adherence to member check-in and check-out procedures
  • Support a physically and emotionally safe environment for youth

7.      Other duties:

  • Safeguard the confidentiality of sensitive information
  • Attend and actively participate in scheduled meetings and professional development opportunities
  • Assist, as needed, with regularly compliance, grant reporting and other administrative projects as necessary

DESIRED EXPERIENCE AND QUALIFICATIONS REQUIREMENTS:

We are seeking someone who is enjoys building relationships and is highly organized and goal oriented.

Preferred qualifications include:

  • Experience with school age youth, preferably grades 4 through 8
  • Understanding of trauma informed practices and the ability to build positive relationships with youth from varied backgrounds
  • Effective interpersonal skills, both oral and written
  • Ability to handle multiple tasks, sometimes simultaneously
  • Proficient computer skills, including experience working with a database, and Microsoft and Google products
  • Experience helping families navigate systems such as Child Care Assistance Programs
  • Goal oriented mindset with persistence and follow through
  • Optimistic, adaptable personality
  • Experience, lived or professional, working with people from diverse racial, ethnic and socioeconomic backgrounds, as well as people who are LGBTQ or “first in family” to attend college
  • Must be able to pass a background check and become CPR certified

THE JOB:

  • 100% in person, at 62 Oak Street in Burlington Vermont
  • Full time, 40 hours a week
  • Hours: 9:45 am – 5:45 pm, Monday through Friday
  • Reporting to:  Oak Street Program Director
  • Compensation: $23 – $27/hour, depending on experience
