Circus Smirkus, a non-profit, award-winning, international youth circus based in Greensboro, Vermont, with the mission to promote the skills, culture and traditions of the traveling circus and to inspire youth to engage in life-changing adventures in the circus arts seeks an adventure driven and detail-oriented Administrative Manager to provide administrative support to all facets of the organization.

The Administrative Manager is a hardworking and motivated individual who enjoys collaborating in a dynamic and creative environment. You will work across programs, year-round, to help support, plan, and implement Smirkus programming and interact with multiple stakeholders to ensure clear communication with participant families, presenters, and partners.

This is a salaried, part-time position with a regular weekly schedule (eg 4-6 hours per day) that may fluctuate in coordination with Circus Smirkus seasonal programming. Preference will be given to candidates able to commit 3 or more, in-person workdays per week at our Headquarters in Greensboro, VT and for the ideal candidate may expand into a full time role.

 

ESSENTIAL FUNCTIONS:

  • Assist program and department heads with coordinating schedules, planning, budgeting, and reporting.
  • Support and manage participant, presenter and partner relationships, especially in off season.
  • Manage program registration process and software for Smirkus Camp and Big Top Tour.  Maintain and manage School Residency calendar, outreach, and bookings.
  • Assist the Business Office with clerical and administrative tasks.
  • With Program Managers, ensure all policies and manuals are up to date, accessible, and appropriately applied.
  • Alongside the Marketing Department, manage Big Top Tour and online concessions sales (purchasing, shipping, inventory, POS, reporting, and storage).
  • Perform clerical tasks, such as shipping, photocopying, and filing, as well as other general office duties.
  • Ensure that all databases remain accurate and up to date.
  • Support staff and participant travel planning as necessary.
  • Facilities Management for Circus Head Quarters and (seasonally) for Camp: includes ensuring oil and gas deliveries are completed, securing snow removal, mowing, cleaning, trash removal, monitoring unsafe conditions.

KNOWLEDGE, EXPERIENCE, AND ABILITIES:

  1. Minimum of 5 years general office experience, including experience doing data entry. Experience in arts management or nonprofit work preferred but not required.
  2.  Excellent customer service skills. This includes good listening skills and the ability to deal with callers in a professional manner. At least 2 years of customer service experience required.
  3. Strong written communication skills.
  4. Demonstrated ability as a self-starter, able to organize one’s work, adjust to changing priorities, and follow tasks through to completion.
  5. Strong organizational skills and ability to handle competing priorities.
  6. Demonstrated ability and experience using MS Office applications (MS Word, Excel, etc.) and Google Suite.
  7. Adept with technology and willing to expand skill set.
  8. Demonstrated professionalism and attention to detail.
  9. Comfortable working with individuals in all age groups, including children.
  10. Understands their role as an ambassador for the organization, and the need to maintain confidentiality around proprietary business information.
