Join Our Team! We are looking for an Executive Director for our youth-centered nonprofit in Essex Junction.
As Essex CHIPS (Community Health Initiatives and Programs for Students) prepares to reopen at 2 Lincoln Street in Essex Junction in September, we are searching for an energetic Teen Center Director to lead our nonprofit program.
Position Responsibilities – Essex CHIPS, Executive Director
SUPERVISOR: Board of Directors STATUS: Exempt
In the interest of serving Essex CHIPS’ mission of “uniting the community in an environment where people are empowered to make healthy choices through youth-adult partnerships, youth leadership, and civic engagement,” under the supervision of the Board of Directors, and in collaboration with other CHIPS staff, coalition members, and volunteers, the Executive Director will work with organizational staff, volunteers, and community partners to create and implement a strategic plan that supports the organizational mission; develop resources to support and sustain components of the strategic plan; manage organizational finances including an annual operating budget; hire and supervise staff; serve as Essex CHIPS’ primary contact and representative to the public; form and strengthen relationships with community partners and networks; serve as the primary staff liaison to the Board of Directors; and other duties as required to direct the work of the organization.
RESPONSIBILITIES
Organizational Leadership
● Work with the Board of Directors, staff, and community partners to develop a strategic plan outlining work under the organizational mission
● Meet regularly with the Board of Directors and Executive Committee
● Provide detailed and timely information to the Board on components of organizational function necessary to enable informed decision-making
● Complete other duties as assigned or deemed necessary by the Board of Directors for successful organizational leadership
Financial Management
● Create and submit an annual budget to the Board of Directors
● Provide budget updates to the Board of Directors quarterly or as requested
● Manage resources effectively to ensure operation within the approved budget
● Work with the Board Treasurer and Bookkeeper to assure sound financial practices and maintenance of organization’s positive financial standing
● Assure that funds are disbursed in accordance with contract agreements and donor designations; execute legal documents (i.e., grant contracts) appropriately
● Maintain organizational accounting records in an accurate and timely manner
● Provide fiscal agent service to community groups as needed
Resource Development and Grants Management
● Work with the Board of Directors and staff to develop an ambitious annual fundraising plan, including new development strategies to promote program and organizational sustainability
● Work with staff to research and apply for grants and other funding opportunities to support need-based, mission-related initiatives
● Work with staff to manage funding agreements effectively and ensure timely and accurate submission of deliverables and reporting
● Responsible for grant research, grant writing, grants management
Community Relations
● Serve as an effective spokesperson for CHIPS, representing the organization’s work and mission to external agencies, media, and the general public
● Promote organizational visibility through regular personal outreach and attendance at community events
● Support Board and staff members in implementing high-quality marketing and communications efforts
● Identify new groups and individuals with whom to form strategic partnerships; establish and strengthen sound working relationships and cooperative arrangements with community groups and organizations
● Serve as an active member of local and regional groups to foster collaboration of prevention and other organizational efforts, including but not limited to: Chittenden Prevention Network (CPN), CPN Directors Work Group, CPN Development Work Group (and/or other subgroups as appropriate), Essex Healthy Youth Coalition
● Create effective platforms for working collaboratively with youth; ensure youth input and voice is represented in planning and implementation of organizational work
Staff Management, Supervision, and Support
● Supervise assigned staff and AmeriCorps service members
Provide staff support through facilitation of regular full-group staff meetings and one-on-one
● meetings with direct supervisees
● Encourage continuous, relevant professional development/education of all staff members
● Divide and assign work effectively, delegating appropriate levels of freedom and authority
● Maintain a positive, engaging, and professional workplace climate which attracts, retains, and motivates high-quality staff
● Recruit staff with diverse backgrounds and skill sets to successfully achieve mission-related
goals
● Maintain accurate and up-to-date job descriptions for every staff position
● Ensure staff performance evaluations are conducted and documented yearly
● Initiate internal investigation as required in cases of personnel misconduct and/or related
complaints; implement and document counseling and disciplinary action taken
● Ensure staff and organizational compliance with federal, state, and local regulations; maintain official records and documents as needed
● Ensure employees are licensed and credentialed as required for respective positions and
background checks are conducted before hiring (or immediately upon hiring/before serving in a supervisory role to youth, staff, or volunteers)
Administration
● Act as chief administrative and operational officer
● Manage and oversee daily operation of organization; establish operational priorities and supporting activities, ensuring proper allocation of staff and financial resources to each
● Oversee preparation and processing of biweekly payroll; approve staff time reports and requests for personal leave
● Oversee facility management including leases, property management, and repairs
● Maintain up-to-date annual insurance policies
● Serve as primary point of contact for vendor contracts and management of accounts payable
Administration (continued)
● Maintain good standing in contractual relationships
● Invest in the technology and best practices for social media, data management, reporting, etc.
Professional Development
● Seek regular opportunities for professional development/acquisition of knowledge and skills that strengthen leadership qualities
● Maintain and use a working knowledge of significant developments, trends, and best practices in relevant fields, e.g., quality youth development, substance abuse prevention
Requirements:
· Previous leadership experience is preferred.
· Background check required.
· A CPR/First Aid certification, or a willingness to become certified, is required.
Schedule: 37.5 hours weekly, Monday through Friday, some evenings and weekends as meetings and events require.
Benefits: Compensation is $34/hour, paid bi-weekly by direct deposit.
Option to enroll in Vermont Saves.
2 weeks/10 vacation days per year after 2nd year of employment, this changes to 3 weeks/15 vacation days per vacation.
40 hours of sick time per year (VT law full or part time employees).
$600 monthly health insurance benefit to be used towards health insurance of employee’s choosing.
